Thank you for your recent decision to purchase AllSearch Spider for Windows. It is our hope that you will find this program both productive and useful, and… well, more than just a little…fun. As someone who has been through one-too-many manual registration campaigns, where each and every directory on our ‘punch-list’ had to be contacted individually and manually, it is hard not to let a smile creep across my face when AllSearch Spider drills down our directory list and registers our site with hundreds of popular search engines in the time it takes to enjoy a good cup of coffee.

Before you head off to the old Java-box, however, I feel it would be worth your time to read this manual thoroughly. In addition to complete operating instructions for AllSearch Spider, we have also included much information about the search engine registration process that will not be found elsewhere, including more than a few insider’s secrets to insuring that your site or page gets the exposure it deserves.

So, sit back, relax, and stay a while. Even if this may be the only user’s manual you will ever read cover to cover, we feel it will well worth your time.

Section 1: Installation and Extraction

The downloadable version of AllSearch Spider for Windows is self-extracting and there is no need for any third party extraction program. Once you have successfully downloaded the program, simply select ‘Run’ from the Start menu, and select ‘setup.exe’ from whatever directory you downloaded it to.

Once you execute the program, all necessary files will be unpacked and placed in a new directory on your system. AllSearch Spider will also add an entry to your program listing from the start menu, allowing you to find it easily when you need to.

Shareware Limitations

The shareware version of AllSearch Spider for Windows95 is completely functional and has been designed to give you an idea of the marketing power at your disposal as a user. The one limitation, however, is that the program will only register your site with up to five search engines during the evaluation period.

One other factor to be aware of is the rapidly changing nature of search engines and Internet directories. Because of the constantly increasing traffic and user demands of better, more accurate searches, most engines are constantly changing and improving their submission techniques.

To adjust for this constantly changing environment, the registered version of AllSearch Spider for Windows95 is updated twice monthly. Registered users are notified when and where they may download the updated version, and there is no charge for this service.

There is no provision for this in the unregistered version of AllSearch Spider, and users will quickly find that fewer and fewer submissions are accepted as a result.

We offer several method of registering your software. Please see the section ‘Registering AllSearch Spider’ for more details.

Registering AllSearch Spider For Windows95

For your convenience and security, we offer several methods of ordering AllSearch Spider:

Secure Online Transaction - We have set up a completely secure web site for ordering this software, and you may be assured of your privacy and security of your information. We currently use a Netscape SSL (Secure Sockets Layer) Server to accomplish this.

Through AllSearch Spider For Windows - Although this is slightly less secure than our online ordering system, you may be assured of your privacy. All information entered into AllSearch Spider is encrypted using advanced algorithms specifically designed for this purpose.

AllSearch Spider Features and Commands

AllSearch Spider for Windows95 was originally designed for use by the professional advertising industry, but has been recently revised for use by the general public. To this end, we have tried to make this program intuitive to use, with a natural flow and direction to the registration process. For your convenience however, we have included a brief overview of each step of this process in this section.

Project Screen
The Project Screen is the first screen you will see upon opening AllSearch Spider after the Title screen. It’s purpose is to determine whether you are working on a new or old project.

AllSearch Spider will store the results of all registration campaigns in a small database, and allow you to resubmit or modify all or any part of a previous campaign. If this is your first campaign with AllSearch Spider, simply type in a name in ‘Load New Project’ dialogue box and click on the button to the left. You will be automatically advanced to the next stage, ‘Description’.

If you would like to work on a project you have previously saved, click on the down arrow box immediately to the right of the ‘Load Old Project’ dialogue box and all saved projects will appear in a drop down box. Highlight your project, click on the button to the immediate left, and your project will be loaded. Again, you will be automatically advanced to the next stage, ‘Description’.

Description Screen

Step two in the registration process is simply telling AllSearch Spider about your site and where it is located. Almost all fields here are optional and self explanatory, with the exception of the following;

Web Page Address: This is the actual URL of your site or page, such as "http://www.mysite.com" or "http://www.myprovider.com/~mypage".

Email Address: This is critical; whatever email address you enter here will be where the search engine administrators send you confirmation notices. Note: many search engines now verify email addresses by ‘pinging’ and will not process a registration without a valid email address associated with it.

When you are done filling in this form, click on the ‘next’ button in the lower right to advance to the next step.

Keywords

This is a critical, yet often overlooked or under utilized step in the registration process. By using smart keyword strategies, it is possible to ‘blanket’ a search engine with your site, ensuring maximum exposure and Internet mindshare.

Web Site Title - This is the descriptive title that will appear after your URL in most search engine listings. A common beginners mistake is to simply place a company or program’s name in this field, generally creating repetitive title’s in the ultimate listing. For instance, if your company name is Site-City Web Hosting, and your URL is ‘www.site-city.com’ your listing would end up looking like this:

www.site-city.com - Web Hosting, …

When you consider that the average listing on a displayed search is often 25 words or less, you will see how critical it is to catch the would be consumer’s eye fast. A better use of the Title function for the web site in this case would be:

www.site-city.com - The World’s Largest Source of Web Hosting…..

The next consideration in determining a title is, obviously, IMPACT. Remember that your listing will be one of hundreds, or even thousands (although we will show you how to optimize that, also) of competitors and related subjects. Studies have shown that while little tricks like all capitalization, graphic inserts, etc, will draw a consumer’s eye, consumers are still most likely to follow the link which makes it’s point quickly and succinctly.

Keywords - Keywords are words or short phrases that describes your site, your products or services, or your site’s content. Because this is the single largest factor determining whether a searcher will find your site, we highly recommend that you give careful consideration to your keyword selection. For now, remember that keywords are prioritized, i.e., the first word chosen is weighted more heavily than the second, the second more than the third, etc. Repetition does not add to your listing priority, nor does capitalization or repetitive punctuation. (ex. : SEX!!!SEX!!!, etc).

Site Description - Again, make your point quickly, and double check spelling, grammar, and punctuation. Blatant spelling errors and bad grammar can reduce click through ratios by over 50% in recent studies.

When you have completed this section by filling in all fields as completely as possible, click on the ‘next’ button in the lower right corner to proceed.

Categories
Without fail, all 3600 major search engines have come up with different categories and classifications for your web site. AllSearch Spider compares and analyzes all categories across all supported search engines during each monthly update, and the new categories and classifications for the major search engines are provided for your convenience.

To proceed, simply select the category from each section that most closely fits your web site and it’s content and general focus. When you are finished, select ‘Next’ from the lower right hand corner to move onto the next section ‘Generate’.

Generate
This exciting new feature will actually allow you to create mini-mirrors of your site, and allow multiple submissions to most search engines. This process dramatically increases your exposure, and has increased web site traffic by over 300% in our studies.

Before beginning this process, you must have a copy of your introduction page for your web site (generally ‘index.htm’ , ‘index.htm’, or ‘welcome.htm’) on your local computer.

When you are ready to generate your mirrors, select your introduction page using the browse function and click on generate. AllSearch Spider will automatically generate Meta-Tags and (5) mirrors for your site, and place them in the same directory as your original introduction page.

When AllSearch Spider is finished with the generation page, minimize the program and transfer both your original file and your new site mirrors back to your site. It is critical to complete this transfer prior to proceeding with the next step, as many search engines will instantly verify the address of any new site submitted to them. If you have not transferred these files prior to beginning the submission process, it could cause parts of your registration to be deleted.

A Note on Meta Tags - Meta-Tags are a form of keywords that are inserted into your html file. This does not affect what your visitors see, and will not affect any function or operation of your page. There is more information available on Meta-Tags in section 2, ‘Registration Campaign Strategies and Secrets.’

Online Queue
The Online Queue section lets you decide exactly where you would like to register your site. By selecting the newsgroups, directories, or search engines that you are interested in, you are telling AllSearch Spider to register your site with them.

The good news is that you do not have to manually select each and every site you would like on your ‘punch-list’. By selecting the ‘Select’ button in the lower left hand corner, you will be able to choose from the following options:

ALL - Will automatically select all directories, search engines, and newsgroups. Recommended for most campaigns.

Search Engines - Will select only the Search Engines from the list.

Directories - Will select only Internet Directories from the list

Newsgroups - Will select only Usenet newsgroups from the list. Note: Only groups whose charter actually allows / encourages web site announcements are on this list. There is no danger of being ‘flamed’ or harassed for inappropriate postings by selecting these groups.

Link Listings - Will select only collections of links, such as Link Monster, from the list.

In addition, you have two other options:

Not Registered Yet - AllSearch Spider keeps track off all previous registration campaigns, specifically logging all directory submissions that have failed for some reason. By selecting this, AllSearch Spider will select only those directories that you have not yet registered with.

Already Registered - This is useful in the case of updating your records or if you have changed the focus of your site. This will allow you to resubmit your information to each directory, and most services now will delete your old records and replace with your new information.

When you have determined the services that you would like to register your site with, find the right-pointing arrow in the center of your screen and click once. All of your highlighted services will now be copied onto your submission queue, and you are ready to proceed to the next step ‘Promotion’.

Promotion
The Promotion section is where your choices from the previous screen are converted to your registration queue. From this screen, your site will be registered with all of the services you selected in the previous screen.

Options:

Show Registration Report - This function provides you with a real time report of the registration process, including successful and failed registrations.

Erase Online Registration Data - This option will allow you to erase all data stored about a particular campaign, enabling you to resubmit a site to search engines.

Run Online Registration - Begins the registration process. In the inset screen, you will see the name of each service AllSearch Spider is currently working with.

Stop - Stops the current registration campaign and stores all data for later reference.

To begin the registration campaign, connect to your Internet Provider as you normally would and press the ‘Run Online Registration’ button. AllSearch Spider will then go to work, contacting each service on your ‘punch-list’ individually, and registering your site information and address.

The length of time this process takes is dependant on many factors, such as your modem speed, your provider’s speed, network congestion and traffic levels, and the speed and availability of each search engine or directory. Average times, however, on a 28.8 modem, are 15 minutes per 100 registrations.

Note: AllSearch Spider is capable of background registration, allowing you to minimize the program and work with another Windows application. This will not affect AllSearch Spider’s operation in any way.

Congratulations! You have just completed your very first registration campaign with AllSearch Spider for Windows.

Generating Reports

AllSearch Spider has two main reporting functions, the Registration Report and the Online Visibility Report.

The Registration Report - This is the log file created by AllSearch Spider during the registration process. This report will contain the name of the registration resource and an indication of whether a particular registration request was successful. To find out more about unsuccessful registrations, please see the next section, ‘Troubleshooting’.

The Online Visibility Report - This is a powerful indicator for measuring the effectiveness of your online registration campaign efforts. When you run this report, AllSearch Spider will contact several major search engines and query for your site by keyword.

Troubleshooting & Frequently Asked Questions

AllSearch Spider for Windows has been tested extensively under a wide variety of operating conditions and variables. If, however, you are experiencing ongoing problems with this program that are not covered in the following section, please contact our technical support staff at :

Q&A

Why are there submission failures on my Registration Report?

Because of the ever changing nature of Search Engines, and network congestion on the Internet, it is not uncommon that you will experience some failures on each registration campaign. If you experience consistent failures on specific search engines, however, please contact us at your earliest convenience to resolve this.

Common Reasons for Failures:

  • No Internet Connection
  • Lost Internet Connection
  • Server is busy
  • This Search Engine is not longer available. Make sure you are using the most recent version of AllSearch Spider by checking our site at: http:/www.site-city.com/spider/

If a registration fails, AllSearch Spider saves an explanation about why it happened in a file named number.htm (For example, 1.htm, 23.htm, etc) located in the LOG subdirectory of the AllSearch Spider directory where the program is installed. After you exit from AllSearch Spider, you can open this file in your browser to view the reasons for failure. When you run AllSearch Spider again, all old LOG files will be deleted from the LOG subdirectory.

How often are updates issued?

AllSearch Spider is updated twice monthly and all registered user will receive notification on how to download the updated version.
